Result Area Module – Structuring Development Work
The Result Area Module functions as the operational core of the system, where all Development Products are created, categorized, and monitored. These DPs are structured into three key types, Individual DPs assigned to staff members, Firm DPs allocated to third-party vendors, and Workshop DPs aimed at organizing learning or outreach events. Each DP entry includes essential details such as output alignment, defined tasks and subtasks, assigned personnel, timelines, and supporting files. The system meticulously tracks each DP’s lifecycle, from creation to submission, quality assurance, compliance checks, approval, and final closure. A dynamic color-coded status indicator system provides real-time visibility of DPs that are on track, pending, or delayed, allowing output leads to intervene promptly when corrective actions are needed.
Approval Chain Configuration and Delegated Authority
The Approvals Module is a powerful administrative tool that allows the configuration of custom approval hierarchies based on staff designation, budget size, geographic location, and type of development product. This flexibility ensures that no document—whether a DP, work report, or invoice, is approved without passing through the correct layers of verification. For example, a firm DP invoice may require approval from the Output Lead, Quality Assurance Reviewer, Compliance Officer, and finally, the Finance Focal Person. Each action in the approval chain is timestamped and recorded to maintain a transparent audit trail, ensuring that decisions are traceable and compliant with UNDP’s governance frameworks.
Work Report Module – Employee Progress Logging
The Work Report Module empowers staff to submit detailed monthly reports outlining completed tasks, time allocations, challenges faced, and proof of deliverables. These reports do more than track employee performance, they serve as official documentation that supports payroll disbursement, validates output completion, and informs annual performance reviews. Managers use these reports to extract department-level data, identify workflow bottlenecks, and compile monthly summaries for internal and donor reporting. For firm engagements, invoices are generated based on the completion of agreed deliverables, with built-in verification steps through QA and Procurement modules. This integration ensures financial accuracy, compliance with donor requirements, and timely disbursement of payments without duplication or manual reconciliation.
Financial Management Module – Budgeting with Precision
The Financial Module offers unparalleled control and visibility over budgeting processes. Users can access detailed dashboards that reflect budget allocation versus utilization, both at the macro (donor, output, department) and micro (task-level) scales. The module features filters for fiscal year, activity type, donor, and time period, allowing finance officers to detect underutilized funds, track expenditures across outputs, and forecast budget needs with precision. It also records and categorizes non-programmable expenditures and management salaries, ensuring every financial transaction is logged and available for audit.
Recruitment Module – Digitizing the Hiring Lifecycle
GSoft Sols also developed a Recruitment Module to streamline the entire 11-stage recruitment process, from initial request through final onboarding. It allows HR teams to track the progression of each vacancy, shortlist candidates, record interviews, process financial proposals, conduct reference checks, and document final selections. This module encompasses a 17-step procurement lifecycle from drafting Terms of Reference and pre-approval reviews to technical evaluations, advertisement, contract award, and issuance of purchase orders. It includes tools to track firm deliverables and monitor invoice claims based on milestone completion. The system auto-flags delays and missing steps, enabling proactive intervention and compliance. Each procurement entry is maintained in a digitally signed trail for internal audits, third-party reviews, and donor validations.
Quality Assurance and Compliance Review
